Prefacio

The call ends well. The customer is happy, the fix is agreed, and then you sit there for four minutes typing what just happened into a ticket while the next call waits in the queue.

That is after-call work, and it is the least visible cost in customer support. It does not show up in handle time the way a long call does, it is invisible to the customer, and it is the first thing that gets compressed when the queue backs up. So the note gets thinner exactly when the day gets harder, which is exactly when the detail matters most.

Most tools pitched at this problem solve it the same way: put a listener on the call, transcribe everything, and generate a summary automatically. That works, and it also means a third party is present in every conversation you have with a customer, holding a recording of it.

There is another route, and it is the one this guide is about. The moment the call ends, you talk for thirty seconds instead of typing for four minutes. The words become clean, structured text on your own machine. You paste it into the ticket and take the next call.

Primero, la parte que la mayoría de los artículos entierran

Yaps does not join your calls. There is no bot, no dialler plugin, and no listener sitting in the background. It does not record the customer, it does not transcribe a conversation as it happens, and it produces no live summary while you are still on the line.

This matters because the search that brings people here usually assumes the opposite. If what you want is a machine that captures the call itself, this is not that product, and you should stop reading rather than discover it in week two.

What Yaps does is the step immediately after. You end the call, you speak the wrap-up while every detail is still in your head, and on-device processing turns your spoken ramble into structured text you paste into the ticket. The capture is deliberate rather than ambient, which is the whole design.

That difference is not only philosophical. A note you speak is a note you chose the contents of. It contains the resolution, the reason, and the thing to watch, rather than a transcript of a customer reading out an order number twice and apologising for their dog.

Por qué la nota de las 5 p. m. es una nota diferente

Every support lead can spot a wrap-up written at the end of a shift. It is shorter, vaguer, and interchangeable. The customer becomes "the customer", the specific error becomes "an issue with billing", and the small odd detail that would have told the next agent everything is gone.

This is not laziness. It is what memory does after eleven more conversations. The note written at five o'clock about a call at two o'clock is a summary of a summary, and everyone has quietly agreed to accept it. The fix is not typing faster. It is capturing sooner, in the short window when you still remember the exact phrasing the customer used.

Typed at 5pm from memory

Twelve calls, one blur

You work backwards through a shift from a few scribbled reference numbers. Times get approximated, the customer's actual words become your paraphrase, and the workaround you improvised is recorded as "advised on settings". The write-up takes longer because you are recalling and composing at once, and it happens when you have the least left to give it.

Spoken at 2:05pm with Yaps

Thirty seconds, before the next call

The call ends at 2:04. You press the Yaps hotkey and talk: who called, what they reported, what you checked, what you did, what happens next. Cleanup runs on your own machine and hands back structured text. You paste it into the ticket and pick up the queue, with nothing left to reconstruct later.

Qué hace Yaps realmente entre llamadas

Yaps is a voice assistant for capture that runs on your own hardware. Four things in it matter to a support or success team, and each one is worth stating concretely.

It turns speech into clean text in any app. Press the Yaps hotkey (hold Fn on macOS, hold Ctrl and the Windows key on Windows, double-tap Ctrl on Linux, all of them rebindable, and on Android the dictation button on the Yaps keyboard) and talk the way you actually think. Recognition runs on the device across about 25 spoken languages, detected automatically from your speech, so an agent handling a mixed-language queue does not change a setting first. Because it works system-wide, you can dictate straight into the ticket field, the internal note box, or a follow-up email. The dictation feature page covers the mechanics.

It cleans up the ramble locally. Cleanup is on by default and runs on the device. It removes filler words and false starts, fixes punctuation and capitalisation, and turns a spoken list into an actual list. So "so, um, customer called about the, sorry, about the failed payment, card was declined, no, expired, I checked the invoice and" comes out as readable sentences with a list of steps. You get the speed of talking with the finish of typing.

It keeps your own notes in a private searchable vault. Captured notes live locally on your device and are searchable there, with no cloud index of your customer conversations on somebody else's infrastructure. Notes support plain text, checklists, and kanban boards, so a spoken wrap-up can carry its own follow-ups. Notes export to Markdown and plain text. The voice notes feature covers the structure, and our guide to turning voice notes into action items covers the follow-up habit.

It can answer questions across your own notes, offline. Yaps includes chat with your notes, answered by a model running on your device. Before a repeat caller comes back, you can ask what you recorded about that account over the last three months and get an answer built only from your own notes, without any of them going to a server.

A warm cream and terracotta desk still life photographed from above: a padded headset resting beside an open notebook, a cooling cup of coffee, a pen, and a phone lying face up with a soft ember glow on its screen, suggesting a support wrap up spoken aloud in the quiet moment after a call ends.

There is a fifth thing worth naming, because it is the one support managers ask about second. Yaps does not integrate with Zendesk, Intercom, Freshdesk, Salesforce, or any other helpdesk or CRM. There is no connector and no automatic ticket write-back. What you get is clean, structured, paste-ready text, and the helpdesk stays the system of record. That is a genuine limitation for teams who want automation, and it is also why no second vendor ends up holding your customer conversations.

Cómo realizar un resumen posterior a la llamada en seis pasos

Here is the loop that replaces reconstructing a shift at five o'clock.

Step 01

Agree the note shapeonce

Who called, what they reported, what you checked, what you did, what happens next. A fixed spoken order beats a typed template nobody fills in.

Step 02

Hang up and press the hotkey10 sec

Nothing was listening during the call. The capture starts when you decide it does, on the machine in front of you.

Step 03

Speak the wrap-up30 sec

Say it once, in order, including the detail you would normally drop. Restarts and asides are fine, because they get removed next.

Step 04

Cleanup structures it locallyinstant

Fillers out, punctuation and lists in. Nothing is uploaded to make that happen, so it works the same on a bad connection.

Step 05

Paste into the ticket15 sec

Dictate straight into the field, or paste the finished text and set the disposition and tags yourself. The helpdesk stays the record.

Step 06

Keep your own copyautomatic

The wrap-up joins a private searchable history on your device, ready for the next time that account calls back.

  1. Agree the shape of the note before the shift, not during it. Five beats is usually right: who called, what they reported, what you checked, what you did, what happens next. A fixed order is consistent enough to search later and short enough to actually get said.
  2. Install Yaps on the machine you take calls on. It runs on Windows, macOS, Linux, and Android. Android is free and needs no account. The desktop apps have no free tier: they begin with a 7-day free trial that requires an account, after which it is Pro at $15 a month, or $12 a month billed annually, and Max at $25 a month.
  3. Start talking within ten seconds of hanging up. This is the entire trick. Ten seconds after the call you still have the customer's exact words. Two hours later you have a category.
  4. Let cleanup do the tidying. You review the text, you do not retype it. The goal is not a perfect first draft, it is a detailed one produced while the detail still exists.
  5. Paste it into the ticket yourself. There is no integration, so this step is deliberately manual: one paste plus the fields your helpdesk requires.
  6. Keep a copy in your own vault. This is the part agents underrate, and it is the subject of a later section.

¿Debería haber algo en la llamada?

That is the real decision, and it is worth making explicitly rather than by default. A bot that joins calls captures more, automatically, and with no discipline required from the agent. It also introduces a recording of a customer conversation, a vendor holding it, and a consent obligation that varies by jurisdiction. An after-the-call wrap-up captures less, requires a habit, and involves none of that.

Scroll
How the note gets made Yaps (spoken wrap-up after the call) A bot that joins the call
Anything joins the customer call No, nothing joins Yes, by design
The conversation is recorded No, never by Yaps Usually yes
Where your words become text On your own device On a vendor server
Consent obligation created None from the tool Yes, and it varies by region
Effort from the agent 30 seconds of talking None during the call
What the note contains What you judged relevant Everything said, then summarised
Works with no connection Yes, for capture and cleanup No
Files the note into your helpdesk No, paste-ready text only Often yes, by integration
Cost of heavy use Same as light use Often metered per minute or seat
Searching your own past notes On the device, no cloud index Server-side index of your calls

Read the rows where Yaps says no as design rather than apology. A tool that never joins a call cannot capture one the customer did not expect to be captured. A tool that never uploads your voice cannot leak it. The two rows where the bot genuinely wins, effort during the call and automatic filing, are real and worth weighing, and our comparison of AI notetakers without a meeting bot works through the same trade-off for meetings.

Si su equipo ya registra llamadas

Plenty of support organisations record calls under their own policy, with their own disclosure and consent process, through their telephony platform. If that is your situation, you already have audio files, and the question is what to do with them.

Yaps Studio transcribes an audio or video file you already have, offline, into text or subtitles. It exports WAV and SRT. It is a file-based tool: you point it at a recording that exists, and the transcription happens on your machine rather than by uploading the call to a transcription service. The Studio feature page covers the workflow.

Two limits are worth stating precisely. Studio never touches a live call, so this is always retrospective. And speaker identification, which labels who said what, is available in desktop Studio on Windows and macOS only, is off by default, and needs a small optional pack (about 32 MB) from the Features screen. It is not available on Android or Linux.

Whether you may record a customer at all remains your organisation's decision and its legal exposure. The tool does not make that easier or harder, and no vendor should tell you otherwise.

La parte que los agentes subestiman: su propia historia

Ticket notes go into the helpdesk, and that is correct. But the helpdesk note is written for the company, in the company's shape, and good agents keep a second, smaller thing: their own record of what they have learned.

The account that always calls on Friday afternoon. The workaround that is not in the knowledge base yet. The customer who does not want to be walked through the basics a fifth time. None of that survives well as a ticket field, and all of it decides whether the next call goes well.

When your wrap-ups also land in a local vault, that becomes a private history you can look across. Search runs on your device, and chat with your notes answers questions across them offline, so you can ask what you recorded about an account over the last quarter before the phone rings again.

It is also the raw material for the pattern nobody has time to spot. Ten wrap-ups mentioning the same confusing step in an onboarding email is a product issue, visible only if the ten notes exist somewhere you can look across.

A note spoken thirty seconds after the call is a record. A note typed three hours later is a memory of one.

8.0

Lo que Yaps no hace, expresado claramente

Precision beats enthusiasm when a workflow touches customer conversations, so here are the limits with no hedging.

Yaps does not join calls, does not listen to live conversations, and does not record them. There is no meeting or call bot, and nothing runs in the background during a call. Every capture starts because you pressed a key.

Yaps does not integrate with any helpdesk or CRM. There is no connector, sync, or plugin for Zendesk, Intercom, Freshdesk, HubSpot, Salesforce, or anything else. It produces clean, paste-ready text and exported files, and your helpdesk stays the system of record. Teams doing the same thing on the sales side will find the reasoning in our guide to getting voice notes into a CRM.

Yaps makes no judgement about a person. It does not score calls, rate agents, run sentiment analysis, flag risk, or produce any automated assessment of a customer or a colleague. It writes down what you say, tidies it, and helps you find it again. Quality management stays a human process in whatever system your organisation uses for it.

Yaps has no reporting or analytics. It will not tell you your average wrap-up time, chart your team's dispositions, or produce a dashboard. Those numbers live in your helpdesk and your telephony platform.

There is no iPhone or iPad app yet. Yaps runs on Android, Windows, macOS, and Linux today, and iOS is coming soon rather than shipping now. For a support team that is usually fine, because the wrap-up happens at a desk, but it is worth knowing if your field or on-call staff work from an iPhone.

9.0

Por dónde empezar

Start with the wrap-up, and start with Yaps. It is the step that costs your team the most invisible minutes, it gains nothing from a cloud round-trip, and it needs no procurement cycle to try. Install it on one agent's desktop, agree the five-beat note shape, and run it for a week.

Keep the rest of the stack exactly as it is. The helpdesk stays the system of record, your telephony platform stays where recordings live, and your quality process stays human. The change is in the ninety seconds between calls, not in the architecture around them.

If something genuinely must capture the call itself with no agent effort, then a call-recording or meeting-bot product is the honest answer, and you should choose one deliberately with your legal team in the room. For everyone else, the faster and quieter option is to talk for thirty seconds while it is still fresh, on a device that keeps it.

Preguntas frecuentes

What are AI call notes?

AI call notes are the written record of a phone call produced with help from speech and language software rather than by typing everything manually. There are two very different versions. One puts a listener on the call, transcribes the whole conversation, and generates a summary automatically, which means a recording exists and a third party holds it. The other, which is how Yaps works, captures the note immediately after the call: you speak the wrap-up, on-device processing turns it into clean structured text, and nothing was recorded during the conversation itself.

Can AI write my support call notes automatically during the call?

Some products do this by joining the call and transcribing it, but Yaps does not. Yaps never joins a call, never listens to a live conversation, and has no call or meeting bot. It handles the step immediately after: you press the Yaps hotkey, speak the wrap-up in about thirty seconds, and on-device cleanup turns it into structured text you paste into the ticket. If fully automatic in-call capture is a hard requirement, a call-recording product is the honest answer, and it comes with recording and consent obligations that vary by region.

How long should after-call work take?

After-call work varies enormously by team and by ticket complexity, so treat any single benchmark quoted at you with suspicion. The more useful question is what dominates the time, and for most agents it is composing while remembering rather than typing speed. Speaking a wrap-up in a fixed order removes the composing step, because you narrate what happened instead of assembling it. Measure your own team's before and after.

Does Yaps join calls or record them like a meeting bot?

No. Yaps does not join calls, does not listen to live conversations, does not record audio during a call, and has no bot of any kind. Nothing runs in the background while you are talking to a customer, and every capture begins because you deliberately pressed a key. This is the core design choice: the workflow is after the call, not during it, which is why it creates no recording and no consent obligation of its own.

Can I transcribe a support call recording I already have?

Yes, if your organisation records calls under its own policy and you have the audio file. Yaps Studio transcribes existing audio and video files offline into text or subtitles, exporting WAV and SRT, and the processing happens on your machine rather than by uploading the call to a service. Speaker identification, which labels who said what, is available in desktop Studio on Windows and macOS only, is off by default, and requires a small optional pack of about 32 MB. Yaps never creates the recording, so whether a call may be recorded at all is entirely your organisation's decision.

Call-recording law varies by country and, in the United States, by state, with some jurisdictions requiring the consent of every party on the line. This is a compliance question for your organisation and its legal team, not something a product can answer for you or resolve on your behalf. It is worth noting that a wrap-up workflow avoids the question entirely, because Yaps never records a call. If your company does record calls under its own policy, that policy and its disclosure process remain your responsibility.

Does Yaps integrate with Zendesk, Intercom, or Salesforce?

No. Yaps has no integration, connector, sync, or plugin with any helpdesk or CRM, including Zendesk, Intercom, Freshdesk, HubSpot, and Salesforce. It produces clean, structured, paste-ready text that you paste into the ticket yourself, and notes also export to Markdown and plain text. That is a real limitation if you want automatic ticket write-back. It is also why no second vendor ends up holding a copy of your customer conversations.

What should a good support call wrap-up note include?

Five beats cover almost every support call: who called and on which account, what they reported in their own words, what you checked, what you did, and what happens next including any promise you made. Speaking them in the same order every time is what makes spoken wrap-ups consistent enough to search later. Add the ticket reference and the time as the first words, so the note is findable weeks afterwards. Anything your helpdesk requires as a structured field, such as disposition or tags, you still set yourself.

Does Yaps work offline for call notes?

Yes. Dictation, text cleanup, note storage, and local search all run on the device and work with no internet connection at all, so a wrap-up spoken during an outage or on a poor connection is captured normally. The network is used only for a short list of things such as subscription status, model downloads, and optional vault sync between your own devices. Capturing and cleaning a note never requires you to be online.

Can I search my own past call notes before a repeat caller comes back?

Yes, and it is the most underrated part of the workflow. Wrap-ups saved to your Yaps vault form a private searchable history on your device, with no cloud index of your customer conversations sitting on a vendor's infrastructure. Yaps also includes chat with your notes, answered by a model running locally, so you can ask what you recorded about an account over the last quarter and get an answer built only from your own notes. Treat the answers as recall support, and keep the helpdesk as the official record.

How much does Yaps cost for a support team?

On Android, Yaps is free and needs no account. On desktop, meaning Windows, macOS, and Linux, there is no free tier: you start a 7-day free trial, which does require an account, and then Pro is $15 a month or $12 a month billed annually. Max is $25 a month and adds premium cloud credits and voice cloning, which most support workflows do not need. Because the capture runs on your own device, heavy use costs no more than light use, which is a real difference from tools metered by the minute.

Does Yaps score agents or analyse customer sentiment?

No, and this is deliberate. Yaps produces no score, no rating, no sentiment analysis, no risk flag, and no automated judgement about a customer or a colleague. It turns your speech into clean text, stores it locally, and helps you find it again. Quality management, coaching, and performance review stay human processes in whatever system your organisation already uses for them.

Is there an iPhone app for support agents?

Not yet. Yaps runs on Android as a full customisable keyboard with a dictation button, and on Windows, macOS, and Linux as a desktop app, and iOS is coming soon rather than shipping now. For most support teams this is not a blocker, because the wrap-up happens at the desk where the call was taken. If your field or on-call staff work from iPhones, that is the gap to plan around, and it is worth checking the current status before you roll anything out.
