The best note you will ever write about a loss is the one you speak while standing in front of it.

You are looking at the water line on the plasterboard. You can see where the ceiling gave way, which appliance failed, and that the hall flooring is already cupping. Six hours later, at a desk, with forty photographs and a memory that has since absorbed three other jobs, you will write a version of that. It will be shorter, vaguer, and missing the one detail that would have held the file up.

That gap between what you observed and what you recorded is where most claims documentation goes wrong. It is not a writing problem. It is a timing problem.

The fix is to make speaking a note as easy as taking a photograph: in the moment, on the site, whether or not there is a single bar of signal in that basement. This guide walks through how to do that on your own device.

Claims files are built from observations, and observations decay faster than anyone admits.

You inspected a storm-damaged roof at nine, a burnt-out kitchen at eleven, a vehicle at two, and a commercial water loss at four. By seven those four jobs are competing for the same slot in your head. You still have the photographs, so you write from them, which means you write what the camera happened to catch rather than what you noticed at the time.

The difference shows in the specifics. "Significant water damage to ground floor" could describe half the losses you handled this month. "Water line consistent at roughly 300mm around the whole ground floor, hall flooring already cupping at the joins, escape appeared to originate at the failed flexible hose under the utility sink, photographs 12 to 19" is a record. It tells a supervisor or a reviewer three months from now what you saw and why you concluded what you concluded.

That matters because the file is what a settlement decision rests on. A human being makes that decision, and they make it better with concrete facts and worse with adjectives.

So why does anyone still write at 7pm? Because typing on a phone while wearing gloves, holding a torch, and balancing on a loft ladder is close to impossible, and because the alternative most tools offer needs a signal the site does not have. The write-up gets deferred by default, not by choice.

It keeps everything in a private searchable vault. Notes land in a local vault you can search without a cloud index of your caseload. They support checklists and kanban boards as well as plain text, so an inspection round can be a checklist you walk every time, and a week of jobs can be a board with a card per claim. Everything exports to Markdown and plain text. The voice notes feature goes deeper.

It syncs between your phone and your laptop. Vault syncing is a premium feature that pairs your own two devices with a QR code and moves notes over your local network or an encrypted peer-to-peer link, not through a central server. The description you spoke in the hallway is waiting on the laptop when you sit down to write the report.

Read the integration row as an honest trade rather than a defeat. Contents and damaged item lists. Speaking a list of items, makes, models, and apparent ages is far faster than typing it, and cleanup formats a spoken list into an actual list.

Mitigation and next actions. What has been done to prevent further damage, what the policyholder was asked to do, and what you have to chase. Drop those into a checklist while you are still standing there, and see turning voice notes into action items for the wider habit.

Handover notes. The most undervalued document in claims, and the one that depends most on detail living in one person's head. Talking a handover out loud is faster and more complete than typing it.

That is a genuine limitation, and it is also why no second vendor ends up holding your claims data.

It does not join calls, and recording people is a consent question. Yaps has no meeting bot, does not sit in a call with a policyholder or a contractor, and does not transcribe live.
