## Przedmowa

You are standing under a rooftop air handling unit with a torch in one hand and a multimeter lead in the other. There is a fault you need to log before you climb back down: the belt is glazed, the drain pan has standing water, and one of the mounting bolts is missing entirely. If you do not write this down now, you are trusting all three details to survive a forty minute drive, two more call outs, and a stop for fuel.

This is the actual problem with field documentation. It is not that people forget to write reports. It is that the writing happens hours after the observation, at a desk, from memory, and the sharpest details are the first ones to go soft.

Before anything else, a boundary. Yaps is not a forms product, an asset register, or a compliance system. It has no inspection templates, no checklists, no photo annotation, and no job scheduler. It does not attach photos to a report and it makes no assessment of what you tell it. What it does is turn speech into clean text, on the device, so you can put that text into whatever system your company already uses to run the job. Keep your existing system of record. This just changes how fast the words get into it.

## Dlaczego praca nad witryną łamie zwykłe dyktando

Most voice typing tools assume a phone with a strong signal in a quiet room. Site work is close to the opposite of that on all three counts, and it is worth being specific about why.

**The signal is gone exactly where the detail matters.** Basements, plant rooms, tunnels, steel structures, and rural infrastructure are the places you most need to record a precise observation, and they are also the places where a phone drops to one bar or none at all. A cloud dictation tool that streams your audio to a server simply stops working there. Yaps runs its speech recognition and text cleanup on the device itself, so a dead zone changes nothing about how it performs.

**Your hands are already doing something else.** You are holding a ladder rail, a torch, a spanner, or the equipment you are inspecting. Typing a note on a phone screen with a gloved thumb, at height or in an awkward stance, is slower than talking and it is also the moment you are most likely to drop the phone. Speaking the note is both faster and safer.

**The write-up happens too late.** By the time you are back at a desk, the observation has been sitting in your memory for hours, competing with the next three jobs. The exact wording of what you saw, the number on a gauge, the specific location of a crack, tends to blur into something more generic. Capturing the words at the point of observation is the entire value here. Everything else is a convenience on top of that.

## Cztery sposoby, jak to wygląda na prawdziwej stronie

These are not hypothetical. They are the shape of the jobs where speaking a note at the point of observation actually changes what ends up in the file.

**A pre-pour concrete check.** You are walking the formwork before the pour is signed off. You call out the rebar spacing, note that the northeast corner box-out is two centimetres out of position, and flag that one construction joint has not been cleaned. You speak this straight into your company's existing inspection app or into an email to the site engineer, standing on the slab, before the pour truck arrives and the chance to fix it disappears.

**A rooftop plant inspection.** Wind noise, a compressor running nearby, and a phone in one hand while you check refrigerant lines. You dictate the unit serial number, the fault you found on the belt and drain pan, and the part number stencilled on the failed component, directly into the maintenance ticket your team already uses. Nobody has to remember which of six units on the roof had the missing bolt.

**A substation maintenance visit.** No signal, restricted access, and a checklist your utility already runs on a tablet or paper form. You speak the transformer readings, the visual condition of the bushings, and a note about a fence panel that needs repair, and type it straight into the existing form field by voice instead of writing it by hand and transcribing it later.

**A snagging walkthrough on handover.** You are moving room to room with the site manager, calling out defects as you spot them: a scuffed door frame, a socket that is not level, a tap that drips. Each item goes into the snagging list your company already runs, spoken as you stand in the doorway looking at it, rather than reconstructed from a phone full of photos that night.

Key Takeaway ¶

Yaps does not replace the forms app, the asset register, or the ticketing system your company runs the job on. It replaces the gap between the observation and the write-up, so what lands in that system is what you actually saw, in your own words, instead of a shorter version reconstructed later.

## Co się zmienia, a czego nie

Be clear-eyed about what a dictation keyboard adds to a field workflow and what it leaves entirely alone.

What Yaps does on site

05

- Turns speech into clean text with punctuation and filler words handled, on the device.
- Types into any app the forms tool, ticketing system, spreadsheet, or notes app you already use.
- Works fully offline once the one-time setup download is finished.
- Keeps a private local history searchable notes stored on the device, not on a server.
- Handles multiple languages detects the language you are speaking on a mixed-language crew.

What it does not do

04

- No inspection templates it does not know what fields a concrete check or a snagging list needs.
- No photo handling it does not attach, tag, or annotate photographs.
- No asset register it does not track equipment, schedules, or compliance status.
- No meeting recording on mobile recording a toolbox talk or site meeting is a desktop feature, not a phone one.

## Mówienie przeciwko prawdziwemu hałasowi

Be honest about the noise problem rather than pretending it does not exist. A generator running, an angle grinder two bays over, or wind across a rooftop is genuinely hard for any speech recognition, on device or off. No amount of local processing changes the fact that recognition needs to hear you over the noise, not just near it.

A few things actually help. Step a few metres away from the loudest source before you speak, even briefly, since noise falls off fast with distance. Hold the phone closer to your mouth than feels natural, six inches rather than arm's length. If you work in consistently loud plant rooms or on a loud site as a matter of routine, a phone headset with a boom microphone close to your mouth makes a bigger difference than any software setting. None of this is unique to Yaps. It is true of talking to anyone across a loud room, which is the honest comparison.

## Konfigurowanie przed następną wizytą w witrynie

Step 01

### Install and finish the download 2 min

Do this before you leave the yard, on Wi-Fi. It is a one-time download of the speech models Yaps runs on the device. After it, no connection is needed.

Step 02

### Add the keyboard 1 min

iPhone and iPad: Settings, General, Keyboard, Keyboards, Add New Keyboard, Yaps, then Allow Full Access. Android: add it in system keyboard settings.

Step 03

### Open your existing forms app 10 sec

Whatever your company already uses to run the job. Yaps has no opinion about which app that is.

Step 04

### Switch and speak 10 sec

Tap the globe key, switch to Yaps, tap the wave, and speak the observation exactly as you see it in front of you.

## Rękawiczki, środki ochrony indywidualnej i jedna ręka na sprzęcie

The dictation button on the Yaps keyboard is a single tap, which matters more on site than it does at a desk. You do not need to remove a glove to hit it accurately, and once dictation starts you do not need to touch the phone again until you are finished speaking. If you wear thick winter gloves or a full PPE set that makes any touchscreen unreliable, the practical workaround most crews use is to keep the phone in a chest pocket or lanyard pouch, start dictation with a bare thumb tip or a knuckle, then hold the phone near your mouth while you talk.

This is a genuine limitation worth stating plainly. A capacitive touchscreen does not reliably register a thick work glove, and no software fixes that. What Yaps removes is everything after the tap: no typing, no autocorrect fights, no punctuation to add by hand.

## Uwaga dotycząca witryn klientów i informacji prywatnych

Field work often puts you on someone else's property, describing their building, their equipment, or their operation. Because dictation, cleanup, and storage all run on the device, nothing you say is sent to a server as part of using Yaps, and your local notes stay on your phone unless you deliberately turn on sync to a desktop you also own. That is a meaningful property for site work carried out under a client confidentiality agreement, though it is not a certification of anything and this is not legal advice. If your employer has specific data handling rules for client sites, follow those rules regardless of what any tool claims about privacy.

If your work is closer to documenting damage for a claim rather than a routine inspection, see our [guide to claims documentation in the field](/blog/insurance-claims-documentation), which covers the same offline problem from an adjuster's side.

## Często zadawane pytania

### Does this work with no signal at all?

Yes, once the one-time setup download is complete. Dictation, cleanup, and local search all run on the device, so a basement, a plant room, a rural site, or a steel structure that blocks a phone signal does not change how it performs. The only step that needs a connection is the initial download, which is best done on Wi-Fi before you leave for site.

### What if the site is loud?

Loud sites are genuinely hard for any speech recognition, and no on-device processing changes that fact. Step a few metres from the loudest noise source before you speak if you can, hold the phone closer to your mouth than feels natural, and consider a headset with a boom microphone if you work in consistently loud environments. These are the same things that help you be understood by a person standing nearby.

### Can I use it with gloves on?

The dictation button is a single tap, so you do not need fine motor control once recording has started. Thick winter or heavy-duty PPE gloves can be unreliable on any capacitive touchscreen, which is a hardware limitation rather than something software can fix. Many field users tap with a bare thumb or a knuckle and then hold the phone near their mouth to speak.

### Does it understand technical vocabulary and part numbers?

It transcribes what you say, including technical terms, model numbers, and measurements, the same way it transcribes any other speech. Recognition accuracy for unusual part numbers and acronyms varies the way it would with any speech tool, and reading a number clearly and at a normal pace helps. It does not look up or validate part numbers against a catalogue.

### Does it work with accents?

Yaps is built to handle a range of accents within each supported language rather than a single reference accent. As with any speech recognition, very heavy background noise combined with an unfamiliar accent is the harder combination, which is where the noise advice above matters most.

### Can I dictate into the forms app my company already makes us use?

Yes. On mobile, Yaps is a keyboard rather than a separate app, so it works inside whatever app has the text field, including your company's mandated inspection app, a ticketing system, email, or a spreadsheet. You do not need to convince your employer to change software.

### Does it attach or manage photos?

No. Yaps handles words, not images. If your workflow involves photographing a defect and writing a caption, you would still take the photo in your usual camera or forms app and could dictate the caption text with Yaps, but Yaps itself does not attach, store, or organise the photograph.

### Is my data private on a client's site?

Speech recognition, text cleanup, and your local notes all run and stay on the device. Nothing is sent to a server as part of normal use, and note sync between your phone and a computer is optional and off unless you turn it on yourself. This is a property of how the software works, not a compliance certification, so follow whatever data handling rules your employer or client contract sets.

### What does it cost?

There is a free guest mode on mobile that needs no account at all. Paid plans exist for people who want more, and pricing is shown in the app before you buy anything. We are not going to guess a number here, since it varies by platform and region and is best checked in app.

### Does it replace our inspection or asset management software?

No, and it is not trying to. Yaps has no inspection templates, no asset register, and no scheduling. It is the layer that gets your spoken observation into the software you already use, faster and with more of the original detail intact.

### Can it record a site meeting or toolbox talk?

Not on mobile. Recording and transcribing a meeting is a desktop feature on Mac and Windows, not something the phone app does. If you need to capture a site meeting, that is a desktop use case rather than a field one.

### What languages does it support?

Dictation covers roughly 25 languages and detects which one you are speaking rather than making you choose from a menu, which is useful on a mixed-language crew. The keyboard itself types in more than 20 languages.

### Do I need an account to try it?

No. Guest mode on mobile lets you use the keyboard, dictation, and local notes without creating an account or signing in.

### What platforms does Yaps run on?

Yaps runs on Android, iPhone, iPad, Windows, macOS on both Apple Silicon and Intel, and Linux. If your crew carries a mix of phones and your office runs a different operating system on its desktops, the same on-device approach applies across all of them, with optional sync between the devices you pair yourself.
