The pump is in front of you. The fault is obvious while you are standing there: the noise, the leak path, the corrosion on the third bolt, the reading that is twelve percent off what the log says it should be. Three hours later you are at a desk with two blurry photos and a memory that has already lost the bolt.

That gap is where engineering documentation actually breaks. Not in the writing. In the capture.

Most tools sold as engineering documentation AI cannot close that gap, because they live in the cloud and the places you work do not. Plant basements, substation yards, tunnels, pump houses, rural sites, ships, and secure facilities are exactly the environments where a connection is unreliable, throttled, or forbidden by policy. A tool that needs to reach a server is a tool that fails in the one moment you needed it.

Yaps takes the other approach. Speech becomes text on the device itself, offline, with the audio never leaving your hands. You talk at the asset, the words land as tidy text, and the note is waiting in a searchable vault when you sit down to write the report.

01 / Speed

Talking runs roughly three times faster than typing, which matters when you are holding a torch in one hand.

02 / Signal

Bars of signal required. Dictation and cleanup run on the device, so a basement behaves exactly like your desk.

03 / Languages

Spoken languages the dictation understands, detected automatically, which helps on multinational sites.

04 / Footprint

Megabytes of memory in use, and it starts in under a second between one asset and the next.

This guide covers the whole loop: capturing on site by voice, letting the text tidy itself, organising rounds and open issues, moving the capture from phone to laptop, and drafting the formal report from your own words.

## 자산과 데스크 사이에서 사이트 노트가 오래되는 이유

Documentation quality is a function of distance. The further you get from the thing you observed, in time and in metres, the more the specifics evaporate and the more the write-up drifts toward generic language.

You know the generic language when you read it back. "Noted minor wear on the housing." That sentence tells the next technician nothing. What you actually saw was scoring on the drive-side face, about a third of the way around, dry, with no debris in the sump, and you thought it looked like a previous rebuild rather than fresh damage. That is a real note, and it does not survive the walk back to the van unless you record it.

Typing on a phone at the asset is not the answer either. You are wearing gloves, the screen is wet or glared out, and you are standing on a platform. So the note gets deferred, and deferred notes get compressed into a sentence that saves nobody any time later.

Without Yaps

### Written from memory at 6pm

Three sites, one notebook, and a write-up that starts after dinner. The tag numbers are right, the detail is gone, and two observations get merged because you cannot remember which unit had the loose gland. Somebody drives back out next week to look again.

With Yaps

### Spoken at the asset, in forty seconds

You talk the observation into your phone while looking at it, offline. The text arrives tidy, tagged to the right unit, and it is in your searchable vault. The report at 6pm is assembly work, not archaeology.

There is a second cost that is easy to miss. Notes written from memory are not just thinner, they are less trustworthy, and everyone downstream knows it. A handover note that reads like it was reconstructed gets treated as a rumour rather than a record.

## 엔지니어링 문서 AI가 장치에서 실행될 때 의미하는 것

The phrase gets used loosely, so here is the plain version. Local AI, or on-device AI, means the model that turns your speech into text and cleans it up is running on the phone or laptop in your hand, not on a company's servers.

Four things follow from that, and all four matter more in field work than in an office.

It is private. Your voice and your notes stay on the device, so a walk-down of a client's plant does not become a file on somebody else's infrastructure. There is no telemetry on your voice. Signing in starts your trial on desktop, and it does not change where the work happens: the capture stays on the device.

It works with no connection. This is the whole ballgame for field documentation. If the transcription happens locally, a lead-lined basement, an offshore platform, or a site with a locked-down guest network is no different from your kitchen table.

It does not change under you. A cloud service can be updated, repriced, deprecated, or have its behaviour quietly altered between one inspection and the next. Software running on your own machine behaves the same way tomorrow as it did today.

It is cheap to use heavily. Nothing is metered per minute, so a technician who talks for eight hours costs the same as one who talks for eight minutes. You stop rationing the tool, which is the point.

> The best documentation tool is the one that still works in the place where the documentation is needed.

## 필드-보고서 루프가 Yaps에서 작동하는 방식

Yaps runs on Android, Windows, macOS, and Linux. In practice the field half of this loop happens on an Android phone in your pocket, and the report half happens on the laptop, whether that machine runs Windows, macOS, or Linux. Here is each stage.

### Capture: talk while you are standing in front of the equipment

On Android, Yaps is a full keyboard, so dictation is available in every app on the phone: your own voice notes, a work order app, an email, a messaging thread with the site supervisor, a form in a browser. Press the dictation button on the keyboard, talk, and clean text appears where your cursor is.

Everything about that runs locally. [Yaps dictation](/features/dictation) uses an on-device speech pipeline, so the audio is never uploaded and the transcription does not stall waiting for a response. That is what makes it usable at the asset rather than back in the van where the signal returns.

It handles about 25 spoken languages and detects the language from your voice, which is genuinely useful on a multinational site where the fitter briefs you in one language and the report is written in another. You do not toggle a setting between conversations.

On the laptop the same thing happens with the Yaps hotkey, in any application: your report template, a spreadsheet cell, a ticketing system, a chat window. The desktop app runs on Windows, macOS, and Linux, so an engineering workstation on any of the three gets the same offline dictation. See [offline dictation](/use-cases/offline-dictation) for the connectivity picture, and the [offline dictation guide](/blog/offline-dictation-guide) for the deeper setup.

### Cleanup: the rambling becomes readable on its own

Spoken observations are messy. You start a sentence, correct the unit number, say "um" twice, and restate the reading. Nobody wants that in a maintenance log.

Yaps cleans the text on the device as it writes. Filler words and false starts come out, punctuation and capitalisation go in, and spoken sequences such as "first, second, third" become an actual list. Numbers get formatted rather than spelled out. Cleanup is on by default, so this is not a second pass you have to remember to run.

The result is the part that saves your evening. You ramble for forty seconds at the pump and what lands in the note reads like something you sat down and wrote, which means the report is assembled from usable paragraphs rather than rewritten from a raw transcript.

Pro Tip P

Say the asset tag first, every time, then the observation. "Pump 2B, discharge side, seal weeping about a drip every ten seconds." Leading with the tag makes local search work months later, because the identifier is the first thing in the note.

### Organise: checklists for rounds, boards for open issues

Raw captures pile up fast on a busy site, so [Yaps voice notes](/features/voice-notes) gives them shape. A note can be plain text, a checklist, or a kanban board, and those three forms map almost exactly onto how field work is already structured.

Checklists suit inspection rounds. Build the round once, then work down it on the phone, dictating the observation next to each item as you go. You get a record of what was checked, not only what was wrong.

Kanban boards suit open issues. One card per defect, moved across columns as it goes from found, to reported, to scheduled, to closed. When somebody asks in the Monday meeting what is still outstanding on Line 3, the answer is a screen rather than a memory.

Search is local and instant, so typing a tag number, a part name, or a supplier surfaces every note that mentions it without a round trip to a server. That is the part that compounds. After six months you have a personal history of every asset you have touched, in your own words, searchable in the yard.

For turning a pile of captures into a task list, [turning voice notes into action items](/blog/turn-voice-notes-into-action-items) walks through the habit in detail.

![A steel workbench in warm afternoon light with a scuffed hard hat, a weathered site notebook, a torque wrench, a coil of cable, and a phone resting face up with a soft ember glow on its screen.](/images/blog/engineering-documentation-ai-1.jpg)

### Sync: your phone captures are on the laptop before you sit down

The capture happens on the phone. The report happens on the laptop. The step between the two is where most field workflows leak, usually into a chain of emails you send to yourself.

Yaps syncs the vault between mobile and desktop. It is a premium feature. You pair the two devices once with a QR code, and the sync runs over your local network or an encrypted direct link between the devices. Notes captured on the round are on the laptop by the time you open the report template.

That also means the sync itself does not depend on a cloud account holding your notes. Two devices, one link, your data.

### Draft: write the report from your own words

Back at the desk, the notes are the raw material. You open the report template your employer uses, and you write the narrative sections around the facts you already captured, dictating with the Yaps hotkey rather than typing.

Be clear about what is happening here, because this is where a lot of tools oversell. Yaps produces clean, structured, paste-ready text. It does not push that text into your maintenance management system, your asset register, or your ERP. There is no integration. You copy the text into whatever template, portal, or form your employer requires, exactly as you would with anything you had typed yourself.

For most people that is the honest and useful arrangement, because report formats vary by employer, by client, and by contract, and a tool that tried to own the template would be wrong more often than right. On Windows in particular, where a lot of engineering documentation gets written, the [best dictation software for Windows](/blog/best-dictation-software-windows) comparison covers how this fits alongside the rest of the desktop.

Notes export to Markdown or plain text, both of which open anywhere, so nothing you capture is trapped.

## 현장 관찰을 포착하고 5단계를 거쳐 보고서로 변환

The loop below is the whole method. It takes about a minute per observation on site, and it removes most of the evening.

Step 01

### Talk the observation at the asset 40 sec

Tag first, then what you see, what you did, and what is outstanding. Offline, on the phone, gloves optional.

Step 02

### Cleanup tidies it automatically instant

Filler words and false starts go, punctuation and lists arrive. No editing pass on a phone screen.

Step 03

### Structure it on the spot 15 sec

Tick the checklist item for the round, or drop the defect onto the open-issues board as a card.

Step 04

### Sync phone to laptop one-time pairing

QR pairing over your local network or an encrypted direct link. No mailing notes to yourself.

Step 05

### Draft the report at the desk 20 min

Dictate the narrative around your captured facts, then paste the clean text into your employer's template.

1. **Talk the observation at the asset.** Open a voice note or any app, press the dictation button on the Yaps keyboard, and describe what you see. Lead with the asset tag, then the reading, the condition, the action taken, and the action outstanding.
2. **Let cleanup tidy the text.** Filler words and self-corrections come out, punctuation and capitalisation go in, and spoken lists become real lists. You are not editing on a phone screen in the rain.
3. **Give it structure while you are there.** Tick the checklist item for the round, or add the defect as a card on your open-issues board, so the organising is done before you leave site.
4. **Sync the capture to your laptop.** Pair the two devices once with a QR code. The notes travel over your local network or an encrypted direct link between your own devices.
5. **Draft the report from your notes.** Open the template your employer uses, dictate the narrative sections around your captured facts, and paste the finished text into the required format.

## 실제로 다루는 문서 작업

Field documentation is not one task. It is a handful of recurring formats, and voice capture suits some far better than others. These are the ones where the loop above earns its place.

**Maintenance logs.** What was done, what was replaced, what was measured, and what to watch next time. These are short, frequent, and almost always written late. Dictating them at the machine turns a nightly chore into a running record.

**Inspection rounds.** A repeating list of assets and checks. Build the round as a checklist once, then walk it, dictating the exception next to each item. The value is the negative evidence as much as the findings.

**Site observations and defect notes.** The single-item captures: a leak, a crack, a temperature that is drifting, a guard that is missing. One capture, one card, one line in the report.

**Handover notes.** The most undervalued document in engineering and the one that most depends on detail that lives in one person's head. Talking a handover out loud is faster and more complete than typing it, because you narrate it the way you would explain it to the person taking over.

**Incident and near-miss notes.** The first-pass factual record while it is fresh, in your own words, before anybody else's account colours yours. Keep it descriptive and factual, and hand it into your organisation's process exactly as that process requires.

**Punch lists and commissioning snags.** Walk the area, dictate each snag as its own card, and hand over a structured list rather than a photo roll with no captions.

Key Takeaway K

The documentation you write from memory and the documentation you speak at the asset are not the same document. One is a summary. The other is a record.

## Yaps가 일반적인 필드 노트 옵션과 비교되는 방식

Most engineers already have a system. It is usually a notebook, a phone voice recorder, or a cloud transcription service that works well in the office and badly in the plant. Here is how those options answer the four questions that decide field usability.

Scroll

| Capability | Yaps | Cloud transcription apps | Phone voice recorder | Notebook and pen |
| --- | --- | --- | --- | --- |
| Works with no signal | Yes, fully offline | No, needs a connection | Records offline | Yes |
| Text on site, not later | Yes, as you speak | Only when online | No, audio only | Handwriting |
| Audio stays on the device | Yes, never uploaded | No, sent to servers | Usually yes | No audio |
| Searchable months later | Yes, local search | In the vendor cloud | No, you replay it | No, you flip pages |
| Paste-ready text for a report | Yes, cleaned up | Raw transcript | No | Retype it |

The notebook wins on ruggedness and always will. Nothing beats paper for surviving a drop onto concrete, and plenty of sites still require a physical record. The problem is the second half of the job: a notebook is not searchable, does not sync, and every line eventually gets retyped by somebody.

Cloud transcription services are strong when you have a connection and a long recording to process. If your work is mostly office-based interviews or calls, and connectivity is never a question, they are a reasonable pick. In the field they are the wrong shape, because the moment of capture is exactly the moment you have no bars.

## 이미 녹음한 내용

Field work generates audio that was never dictated: a walk-down you recorded on your phone, a supplier briefing you recorded yourself, a verbal handover captured at shift change.

The [Yaps Studio editor](/features/studio) transcribes those files offline on your laptop. Import the audio file, let the local speech pipeline turn it into text on your machine with no upload, then trim and clean the result. You can export the transcript, or subtitles as an SRT file if the audio belongs to a training video.

Two honest boundaries. Yaps does not join live calls or meetings and does not caption a conversation as it happens, so it is not a meeting bot. And you remain responsible for recording consent, which varies by jurisdiction and by site policy. Studio handles the file you already have, privately, on your machine.

## Yaps이 정차하는 곳

An honest scope makes the tool more useful, not less, so here is what this is not.

It is not a CAD, calculation, or simulation tool. Yaps does not draw, size, model, or verify anything. It writes down what you say about the thing you sized in whatever tool you actually use for that.

It does not integrate with your CMMS, asset register, EHR, or ERP. There is no connector and no automatic push. Yaps gives you clean, structured, paste-ready text that you copy into the system your employer uses. If a direct system integration is a hard requirement for your team, a vendor tool built into that platform is the right choice for the write-back step, and you can still use Yaps for the capture.

It does not certify anything. Nothing about this workflow constitutes regulatory sign-off, and nothing in this article is safety or compliance advice. Your organisation's procedures decide what a valid record looks like, who approves it, and how it is retained. Check your own document control requirements before changing how you capture.

There is no iPhone or iPad app yet. Android, Windows, macOS, and Linux ship today, and iOS is coming soon. If your fleet is all iPhones, this loop does not work for you yet, and the fair thing is to say so rather than pretend otherwise.

Read-aloud is not a cloud voice library. It covers 31 languages on desktop and speaks them on your own machine, so a report never leaves the device to be read back, but a cloud service still offers more voices and more accents per language, and mobile ships a smaller voice set than desktop.

Important !

Always check tag numbers, part numbers, and readings on the screen before you file a note. Cleanup fixes grammar and punctuation, not domain spellings, and an identifier that is one digit out is worse than no note at all.

9.0

## 현장 방문 전 설정

Three things done once make the difference between a tool you use and a tool you install.

Install Yaps on the phone first and enable the keyboard, because the phone is where the field half of the loop lives. Do a test dictation in aeroplane mode, so you have seen with your own eyes that it works with the radios off before you rely on it in a basement.

Pair the phone with your laptop while you are on your home or office network. Sync pairing over a local network is the easy path, and doing it in advance means the notes are simply there when you get back.

Build one checklist for your most common round and one board for open issues. Those two structures cover most field documentation, and having them ready means the first capture on site takes ten seconds rather than two minutes of setup.

**What if your site bans phones entirely?** Then the laptop half still applies. Capture on paper as your site requires, then dictate the write-up on the laptop offline as soon as you are back in the office. You lose the at-the-asset accuracy, but you keep the speed, the cleanup, and the searchable vault.

10.0

## 결론

Start with Yaps. For engineers and technicians who document work in places where the connection is unreliable, it is the default: dictation that runs on the device and works offline, cleanup that turns a spoken observation into readable text, checklists and boards that match how rounds and defects already work, a searchable vault you own, and sync that moves a phone capture to the laptop where the report gets written.

Two scenarios where something else wins. If your team's requirement is writing directly into a maintenance management system with no copy and paste, a vendor tool built into that platform is the right answer for that step. If your entire fleet runs on iPhones, wait for the iOS release or use a different tool in the meantime.

For everyone else, the change is smaller than it sounds and pays off immediately. You stop writing reports from memory and start assembling them from what you actually said while you were standing in front of the equipment.

## 자주 묻는 질문

### What is engineering documentation AI?

Engineering documentation AI is software that uses speech recognition and text cleanup to help you capture and draft technical records such as site observations, maintenance logs, inspection notes, and handover reports. In the useful version, the AI runs on your own device rather than in the cloud, so it works where the documentation actually happens. Yaps takes that approach: you speak the observation, the text is transcribed and tidied on the device, and the note lands in a searchable vault you own.

### Can I write field reports without an internet connection?

Yes, if the transcription runs on your device. Yaps performs speech to text and text cleanup locally on Android, Windows, macOS, and Linux, so dictation works in a plant basement, a substation, a tunnel, or anywhere else with no signal. Cloud transcription services cannot do this, because they need to reach a server before they can return any text.

### What is the best app for engineering field notes?

Yaps is the strongest default for field notes because it covers the whole loop offline: dictate the observation at the asset on your phone, have it cleaned into readable text automatically, organise rounds as checklists and defects on a board, then sync to the laptop to write the report. A paper notebook is still the toughest option and some sites require one, and a cloud transcription service is fine if you always have connectivity and only need long recordings processed.

### Does Yaps upload my site audio anywhere?

No. Core dictation runs entirely on the device, the audio never leaves it, and there is no telemetry on your voice. On desktop you sign in to start the 7-day free trial, which governs access rather than where your words go: the capture, cleanup, and search still run on your machine. That matters when you are documenting a client's plant or working in a facility where uploading site material would breach policy.

### Can Yaps write a maintenance report for me?

Yaps turns what you say into clean, structured text, and you assemble the report from that. It removes filler words and self-corrections, fixes punctuation and capitalisation, and formats spoken lists and numbers, so your dictated observations arrive in a state you can paste straight into a report. It does not invent findings, fill in fields you did not describe, or approve anything.

### Can Yaps connect to our CMMS, asset register, or ERP?

No. There is no direct integration with maintenance management systems, asset registers, EHR systems, or ERP platforms. Yaps produces clean, paste-ready text that you copy into whatever template or system your employer uses. If automatic write-back into a specific platform is a hard requirement, a vendor tool built into that platform is the right choice for that step.

### Can Yaps transcribe a site walk I already recorded?

Yes. The Yaps Studio editor imports an audio file you already have and transcribes it offline on your machine, then lets you trim and clean the result before exporting the text or subtitles as an SRT file. What Yaps does not do is join a live call or caption a meeting as it happens, so it is not a meeting bot.

### How much does Yaps cost?

Yaps starts with a 7-day free trial, and after that it is a paid subscription: Pro is $15 a month and Max is $25 a month. Android has a free tier; the desktop app does not. On desktop you need an account to start the trial and to subscribe. That account governs access and billing, not where the work happens: the dictation, cleanup, and local search still run on your device.

### Does Yaps work on iPhone or iPad?

Not yet. Yaps ships on Android, Windows, macOS, and Linux today, and the iPhone and iPad app is coming soon. If your team is entirely on iPhones, this workflow is not available to you at the moment.

### Does dictation handle technical terms and equipment tags?

It handles ordinary technical vocabulary well, but unusual asset tags, part numbers, and site-specific abbreviations should always be checked on screen before you file the note. Speak identifiers slowly and clearly, and read them back. Cleanup improves grammar, punctuation, and formatting; it does not verify domain-specific spellings or numbers, and an identifier that is one character out is worse than no note at all.

### How do notes get from my phone to my laptop?

Vault syncing moves them. You pair the phone and desktop once by scanning a QR code, and the notes travel over your local network or an encrypted direct link between the two devices. It is a premium feature, and the practical effect is that captures from a morning round are waiting in your desktop vault when you sit down to write.

### What languages does Yaps dictation support?

Dictation understands about 25 spoken languages and detects the language automatically from your voice, so you do not switch settings between conversations on a multinational site. The Android keyboard also supports typing in 25 languages. Read-aloud is a separate figure: 31 languages on desktop, spoken on your own machine, with a smaller voice set on mobile.

### Can I use Yaps for inspection checklists?

Yes. Voice notes support plain text, checklists, and kanban boards, so you can build a repeating inspection round as a checklist and dictate the exception next to each item as you walk it. Open defects work well as cards on a board that you move from found to reported to closed. Notes export to Markdown or plain text if you need them in another system.
